Where the time goes

A manager's week, before and after

Most of the admin in care is repetitive: chasing, copying, formatting. That's the part a trained person can automate. Switch between the two weeks to see the difference.

What your apprentice fixes

Real jobs from your type of service

Pick your service. Each apprentice works on processes like these, and a named person always checks the result.

Now: half a day pulling records together

Reg 44 and Reg 45 prep

A first draft of the month's evidence, with gaps flagged for the manager to check before the visit.

Now: actions lost between meetings

Meeting notes and actions

Every action captured with a name and a date, and sent round the same day.

Now: late returns read one log at a time

Patterns across shifts

Repeated incidents flagged across records, so a pattern isn't missed because it happened on different shifts.

Safe by design

The five rules your apprentice works to

The first question most care leaders ask is whether AI is safe with sensitive information. These rules are part of the training from the start.

  1. The people you support come firstIf it doesn't improve someone's care, it isn't worth automating.
  2. A named person decidesAI drafts. A responsible person reviews and signs off.
  3. No personal data in unapproved toolsOnly tools your organisation has approved.
  4. People's words stay their ownAI can tidy a record. It never rewrites what someone said.
  5. Be open about itFamilies and inspectors can see where AI is used.

These match the Department of Health and Social Care's guidance on using AI in adult social care, which says a person should always review AI outputs. More in our guide: How to use AI safely in a care home.

FAQ

Questions care providers ask us

What is the Level 4 AI apprenticeship for care providers?

It's the Level 4 AI & Automation Practitioner apprenticeship (standard ST1512), delivered by EEV Training for care services. Someone already on your team spends 15 to 18 months learning to spot admin worth automating, put AI tools in properly and use them safely with personal data, while they keep doing their job.

Is it safe to use AI with residents' or children's information?

Only in tools your organisation has approved for that use, and with a named person checking anything AI drafts. Government guidance for adult social care says personal information should not go into free or online AI tools, and that a person should always review AI outputs. Safe, GDPR-aware use is part of the apprenticeship from the first weeks.

Who should we put forward?

Someone already on your team who knows how the service runs and has been asked to make things more efficient. A deputy manager, senior carer, administrator or office manager often suits it. No coding or tech background is needed.

How much does it cost?

Up to 95% of the training is government-funded for employers who don't pay the apprenticeship levy. Levy payers use their levy. We confirm your exact figure and handle the funding paperwork.

How long does it take?

Usually 15 to 18 months, alongside the apprentice's normal job, followed by an independent end-point assessment.

Do care providers need an AI policy?

Government guidance for adult social care recommends every provider has an AI policy shared with all staff, even if the policy is that staff can't use AI for work. The apprenticeship helps you write one that fits how your service actually works.

Will Ofsted or CQC mind that we use AI?

What matters is being able to explain it: which tools you use and for what, what never goes into them, and who checks the output before it becomes a record. The apprenticeship helps you set that up and write it down.
